What can I expect to do in this role?
Reporting directly to the Executive Director/Pastor, the Administrative Assistant will provide administrative support to the Meadowvale East Apostolic Church Summer Camp.

Primary responsibilities will include:
  • Establishing and maintaining files, records and databases in a professional and organized fashion paying particular attention to confidentiality and privacy. Posses excellent written and verbal skills.
  • Perform routine administrative duties including word processing, formatting documents, photocopying, scanning, faxing, mailing, filing, coding bills, petty cash, minute taking and assisting with scheduling.
  • The Administrative Assistant will be required to complete registrations for campers and assist in completing intake packages for new campers and the coordination of events, information sessions, training, and meetings.
  • Schedule and book field trip activities and engage in the administration of employee documentation as well as time and attendance.
  • Work within the team to create a welcoming and friendly environment for campers, employees, and families.
  • Assist staff in logistical management of approved initiatives to support the camp’s goals, including acquisition of supplies, inventory management, bookkeeping and strategic planning.
  • Other duties as assigned including assistance at lunch and snack times, camper activities and field trips.
  • Attendance during training sessions and regular meetings is also required and s/he is required to maintain accurate records, incident reports, attendance, other duties as assigned, and report any incidents directly to the Executive director.

Job Description
  • Prepare food for Clients in an efficient and effective manner. Assist in the in-take of food on Mondays and Wednesdays and preparing hampers for distribution on Mondays and Thursdays.
  • Greet, meet Clients of the Food Bank. Use desk-top computer or tablet to record visits of Clients when in attendance in the proprietary Food Bank System.
  • Perform administrative tasks on same system to record and order weekly Food requirements.
  • Support all aspect of Food Bank under the direction and guidance of the Food Bank Director, such as packing, sorting, and re-stocking shelves to make distribution of food to our Clients more efficient.
  • Perform maintenance of the floors, desks and all areas of Food Bank to ensure, proper hygiene, sanitization and compliances.

Outline Of Activities, Tasks And Responsibilities:
  • Arrive for work at the schedule time and sign-in. If you are unable to come in for a scheduled shift, please notify the Food Bank Administrator at least 24 hours before shift begins.
  • Monday morning/afternoon/evening between 4:00 p.m. and 7:30 p.m. and on Thursdays between 9:30 a.m. and 12:30 p.m. you will serve about 100 - 125 families.
  • Pack orders for Clients (according to family size).
  • There are five (5) staff for every shift in the Food Bank. Two staff will be responsible for selecting the items in the Food bank guide and placing them on the counter and two staff will be responsible for the distribution to Clients. One staff will be responsible to meet and greet clients, ensure COVID protocols are adhered to and guiding clients into the Food Bank serving arear.
  • Heavy items (such as cans) should be packed at the bottom of the bags, and lighter items on the top.
  • Always be aware of where the eggs and fresh milk and bread are packed.
  • Inform Food Bank Coordinator if food supplies are running low.
  • On Wednesdays between the hours of 9:00 a.m. and 2:00 p.m.
    • Assist in the receipt of Food from our Donors via our loading dock.
    • Move food inside Food Bank.
    • Unpack boxes or bags to storage shelfs, Fridges and Cooler.
    • Prepare from shelves boxes of required food for distribution.

Executive Camp Director (ECD) (1 Position)

The ECD oversees the coordination and administration of all aspects of the Meadowvale East Apostolic Church (MEAC) summer camp program including planning, organizing, staffing, leading, and controlling program activities and reports to the Pastor of MEAC.

Primary Duties and Responsibilities
The ECD performs a wide range of duties including some or all of the following:

Plan The Program
  • Plan the delivery of the summer camp program and its activities in accordance with the stated mission and the goals of the camp.
  • Develop new initiatives to support the strategic direction of the camp/Church.
  • Develop and implement long-term goals and objectives to achieve the successful outcome of the camp.
  • Develop budget and operating plan in conjunction with the Pastor of MEAC
  • Develop a program evaluation framework to assess the strengths of the program and to identify areas for improvement
Organize the program
  • Ensure that program activities operate within the policies and procedures of the camp
  • Update forms and records to document camp activities
  • Oversee the collection and maintenance of records on the clients of the camp for statistical purposes according to the confidentiality/privacy policy
Staff the program
  • Recruit, interview and select well-qualified program staff
  • Implement approved human resources policies, procedures and practices
  • Ensure that personnel files are properly maintained and kept confidential
  • Establish and implement a performance management process for all program staff
  • Engage volunteers for appropriate program activities (See managing volunteers below for more information).
  • Ensure that all program staff receive appropriate orientation to the Church and programs and holds requisite documents in accordance with relevant laws (e.g. vulnerable sector checks, CPR, First Aid, etc.)
Lead the program
  • Ensure all staff members receive orientation and appropriate training in accordance with established standards
  • Supervise program staff by providing direction, input and feedback
  • Communicate with clients and other stakeholders to gain community support for the program and to solicit input to improve the program
  • Liaise with other Church staff to ensure effective and efficient program delivery
  • Where appropriate, coordinate the delivery of services among different program activities to increase effectiveness and efficiency
Control the program
  • Prepare reports/presentations on the program for management and funders
  • Ensure funder agreement requirements are executed
  • Ensure that the program operate within the approved budget
  • Monitor and approve all budgeted program expenditures
  • Monitor cash flow, projections, and report actual cash flow and variance as appropriate
  • Manage all project funds according to established accounting policies and procedures
  • Ensure that all financial records for the program are up to date
  • Ensure financial reports and supporting documentation for funders are prepared as outlined in funding agreements
  • Identify and evaluate the risks associated with program activities and take appropriate action to control the risks

Job Description
Under the direction and guidance of the Summer Camp Executive Director, Design, Develop and Execute 2024 Summer Camp Program. This includes 3 days of Pre-Camp hands-on training and development before Summer Camp starts. Included in the youth’s training, will be direction for Customer Service, Leadership, Managing Staff and the proper procedures for social distancing in a professional setting. Outcomes for the youth will be learning how to develop work plans as a team as well as gaining experience in Customer Service, Leadership Skill-Set, through coordinating parents, campers and counsellors.

Organize the program

Job Description
Under the direction of the Student Camp Director working as part of a team:
  • Uses sound judgment and good decision-making skills
  • To create and sustain a welcoming, educational and fun-filled environment that ensures the health, safety and well-being of campers ranging from ages 5 (five) to 12 years from a diversity of backgrounds.
  • S/he is required to work on a seven (7) hour schedule on a rotational shift basis.
  • The Camp Counsellor will be a positive role model who demonstrates good work ethics, respect, compassion and value for all campers, co-workers and visitors to the facility.
  • S/he will help to develop and deliver age appropriate, fun, interactive activities to stimulate their minds and imagination both mentally and physically. S/he plans weekly recreational and after hours’ activities.
  • Preparation of simple breakfast and snacks for campers in the extended program will also be required. S/he will also supervise campers during recreational and special outings during field trips. S/he provides leadership in all aspects of program development, delivery and evaluation.
  • Activities may include arts and crafts, nature, songs, games, opening and closing ceremonies, swimming, and time spent on outdoor activities.
  • The Camp Counsellor will also be responsible for identifying and responding appropriately to camper behavior issues and ensure that the site is kept clean, organized, and free of litter and hazards.
  • S/he will be communicating often with parents about camper's experiences and report concerns to the student camp director. S/he must know and understand ALL emergency procedures associated with the camp program.
  • S/he is required to know, enforce, and follow all safety guidelines associated with the camp and all program areas.
  • This includes but is not limited to being responsible for campers' safety and their whereabouts at all times. We will also rely on the Camp Counsellor to help volunteers have a deeper understanding of leadership and counselling skills.
  • Building on the positive rapport that s/he has established with campers the Camp Counsellor maintains discipline and safety at all times.
  • S/he will need to ensure the safety of campers with needs, example, knowing the dietary or medical needs of campers.
  • The Camp Counsellor supervises campers during snack/meal periods and drop off/pick up periods and be able to appropriately respond in (medical) emergency situations.

Web APP Designer (1 Position)

Goals/Job Description
Need a web designer who can create the look, layout and features of a website, which will integrate our Food Bank activities on a real-time basis with our existing Meadowvale East Apostolic Church website. The plan is to design, develop and implement this new module that seamlessly update activities of our Food Bank to our existing MEAC.CA website. In addition, create a Time Keeping Application for signing and out of employees and provide upload to our Payroll Program in Quickbooks.

The student web designer must understand both graphic design and computer programming. Once the website is created, the designer helps with maintenance and additions to the website. Under the direction of the Pastor/Food Bank director, s/he will keep the site up-to- date and prioritizing needs, among other tasks. It is expected that the student web designer duties will cover all aspects of creating and maintaining the website.

The designer will be required to re-design and update approved content on the site, assist with designing webpage layout, determining technical requirements, updating websites, creating back up files and solving code problems. S/he will evaluate accessibility and usability concerns and execute improvements to comply with legislated requirements under the Accessibility for Ontarians with a Disability Act.

A major project will be the design and development of an application to account for and report daily/weekly hours worked for all Summer Jobs employees.

Students are required to have worked knowledge of XHTML, CSS, PHP, and SQL, and be able to work on Site at 1510 Warden Ave, or work remotely using their own computer, but connect and interact on a regular basis with Team Lead
